RCREEE calls for candidates for the position Office Manager

Background

The Regional Center for Renewable Energy and Energy Efficiency (RCREEE) is an intergovernmental organization with diplomatic status that aims to enable and increase the adoption of renewable energy and energy efficiency practices in the Arab region. RCREEE teams with regional governments and global organizations collaborate to initiate and lead clean energy policy dialogues, strategies, technologies and capacity development in order to increase Arab states’ share of tomorrow’s energy.

Duties and Responsibilities:

Assisting the Executive Director with day-to-day secretarial work including:

  • Maintaining and updating director’s calendar, task list, reminders and monitoring deadlines and follow-ups for projects, travels and business missions
  • Coordinating and scheduling meetings and preparing relevant information and materials for different executive director meetings
  • Handling executive communication including e-mails, phone calls and all types of incoming/outgoing correspondence
  • Preparing executive director meetings: scheduling, gathering topics,  attending, taking minutes and sorting amendments, disseminating and archiving
  • Managing executive director logistical requirements including travel upgrades, personal reservations, and visa requirements
  • Assists executive director with needed report writing, concept notes and presentations
  • File management (i.e. preparing and updating files, archiving, E-Filing)
  • Editing, Formatting and typing unilingual and bilingual documents
  • Editing, reviewing and preparing in final form and correct format: documents, agreements, amendments, and correspondence, completed independently or from verbal, written or dictated direction for final review and/or signature
  • Translating all or parts of documents from Arabic to English and vice versa when needed
  • Maintaining and updating contact lists
  • Conducting first level quality assurance and proofreading on selected executive reports and documents
  • Data collection (from any relevant sources: the Internet, periodicals, electronic databases, etc)
  • Maintaining and coordinating the Executive Director’s office in terms of supplies, coordinating and reporting repairs and general coordination of IT issues with IT personnel
  • Performs other duties and task at the request of management

Qualifications and Skills:

  • 1-3 years of experience in office management, executive assistance and administration preferably in a similar organization
  • Relevant Bachelor’s degree
  • Fluency in written and oral English and Arabic is a must
  • Excellent organization and time management skills
  • Ability to deal with cultural sensitivities in multicultural teams
  • Excellent report writing and research skills
  • Ability to work under pressure and to multitask multiple deadlines
  • Keen attention to details and problem solving skills
  • Experience in dealing with VIPs and government officials is preferable
  • Ability to deal with and protect confidentiality is a must

General Terms and Conditions

  • The Candidate is required to work from RCREEE’s Cairo office.

Tenure of Appointment

  • The initial appointment is for a duration of 12 months including a 3-month probation period
  • Contract renewal will be subject to performance, needs and availability of funds.
